Keep your completed tracker private to the planning committee.
Include the date, time, venue, ticket price, what is included, guest policy, dress expectations, RSVP deadline, and a committee contact. Set the deadline early enough to meet your vendors’ final-count requirements.
Wording you can adapt:
Class of [YEAR], let’s get together again! Join us for our [MILESTONE]-year reunion on [DATE] at [VENUE]. Tickets are [PRICE] and include [DETAILS]. Please RSVP and submit payment by [DEADLINE] at [LINK]. Questions? Contact [COMMITTEE CONTACT]. We’d love to see you there!
Keep one shared tracker: classmate name, contact details, response, guest count, payment status, and any arrangements requested. Limit access to committee members who need it.
Send a save-the-date first
Once the date and location are settled, give classmates an early heads-up. Include the class year, reunion milestone, date, city, and where confirmed details will appear. If ticket sales are not open yet, say when to expect the full invitation.
Make the RSVP process unambiguous
Separate a yes response from a paid reservation. Decide whether guests can bring partners, whether children are included, and how additional names should be recorded. Provide one clear RSVP route and a contact method for people who cannot use it.
Build one reliable guest list
Suggested columns: Classmate name · Preferred contact · Response · Number attending · Guest names · Amount due · Amount paid · Payment date · Dietary or access arrangements · Follow-up owner.
Ask only for details needed to run the event. Keep the list with the committee members who need access; do not publish contact information or individual arrangements.
A friendly reminder you can adapt
Hi [NAME], we’re finalizing plans for the Class of [YEAR] reunion on [DATE]. We’d love to see you! Please RSVP and complete payment by [DEADLINE] at [LINK]. If you’ve already responded, thank you—no need to reply again. Questions? Reach us at [CONTACT].
What to send during the final week
Send the venue address, arrival time, parking instructions, check-in details, any accessibility information, dress expectations, and a contact for urgent questions. Include a short schedule and explain whether guests need to bring anything.
Reaching classmates you have lost touch with
Ask classmates to pass along the invitation rather than sharing someone else’s private contact details. Use alumni groups where permitted, verify information before merging duplicate records, and keep a list of people still to reach. Avoid repeatedly messaging someone who declines.
